About the role

Stanwell is seeking an experienced and dynamic Assistant Company Secretary. This is a full time opportunity located in Brisbane CBD.

At Stanwell, the Secretariat team is the pivotal liaison point between the organisation, management, and the Board, ensuring the highest standards of corporate governance across Stanwell and its subsidiaries.

Reporting to the Company Secretary, this role supports the effective governance of the Board, Board Committees and Executive Leadership Team.

You’ll manage the end-to-end meeting cycles, ensuring high-quality governance processes and providing support to senior stakeholders including Directors and Executives. This is a fast-paced, highly detailed role suited to someone who can stay organised, manage competing priorities and operate confidently in a senior stakeholder environment.

This role offers flexibility (where business permits), strong autonomy once established, and genuine opportunity to develop in the Company Secretariat Function..

Key activities include:

  • playing a key role in the coordination and administration of key facets of Board, Board committee and Executive Leadership Sub-committee meetings, including:;
    • prepare, review and coordinate Board and Committee papers;
    • attending Executive sub-committee meetings to take accurate, timely minutes
  • providing support to the Company Secretary in carrying out duties relating to the effective governance and performance of the Board and Stanwell, including its wholly owned subsidiaries and joint venture companies, as well as information on governance best practices;
  • Contributing to the conceptualisation, development and implementation of special projects to ensure the ongoing effectiveness of the Company Secretariat function
  • Track actions and ensure follow-up on key decisions;
  • Maintain statutory registers and governance records;
  • Support director lifecycle activities (onboarding, resignations);
  • Provide governance guidance aligned to policy and legislation;
  • Build strong relationships with executives and directors.

About you

  • Experience in a Company Secretariat or governance environment 
  • Strong understanding of corporate governance and board processes
  • Confident working with senior stakeholders, including executives and directors
  • Highly organised with strong time management and prioritisation skills
  • Strong attention to detail, particularly in documentation and minute-taking
  • Tertiary qualification in a legal or related discipline (mandatory)
  • High integrity and ability to manage confidential information
